AI Business Analyst

Job Purpose

To support IWG’s transformation into an AI-enabled organisation, we are looking for an AI Business Analyst to help design, document and continuously improve the AI solutions that empower our internal teams and enhance customer experiences. This role is central to ensuring our AI initiatives—particularly agentic bots and automated customer-facing assistants—are implemented effectively, remain accurate, and evolve through continuous learning.

As an AI Business Analyst, you will work closely with Business Owners, Project Managers, Data and AI teams, and Customer Services to gather and translate requirements into clear specifications for AI models, prompts, workflows, and knowledge bases. You will be responsible for prompt management, curating and maintaining high-quality knowledge repositories, and ensuring that all AI-powered customer service tools reflect the most up-to-date feedback from customers and internal stakeholders.

Key Responsibilities

  • Gather and document business requirements for AI solutions across IWG, ensuring alignment with business goals and customer experience standards.
  • Collaborate with Business and Product Owners, subject matter experts and technical teams to define AI functional and non-functional requirements.
  • Analyse customer journeys, call drivers and operational processes to identify opportunities where AI can streamline, automate or improve service delivery.
  • Manage, design and optimise prompts for agentic bots and other AI tools, ensuring clarity, accuracy and intended behaviour.
  • Curate, maintain and continuously improve AI knowledge bases, ensuring information is current, well-structured and aligned with company policies.
  • Translate business needs into detailed functional specifications and ensure integrity across documentation, workflows and integrations.
  • Partner with Data, AI and Engineering teams to validate that solutions meet acceptance criteria and operate as intended.
  • Monitor AI system performance, collecting feedback from internal teams and customers to recommend and drive improvements.
  • Support structured testing, evaluation and deployment of AI enhancements and new features.
  • Ensure all AI-related documentation is maintained, accessible and up to date, including prompt libraries, decision flows, training data sources and version control.
  • Communicate complex AI concepts and requirements clearly to non-technical stakeholders.

Skills & Experience

  • Experience as a Business Analyst, ideally within AI, automation, digital products or customer operations.
  • Strong analytical, documentation and stakeholder management skills.
  • Understanding of prompt engineering, conversational design or AI model behaviour (training will be provided if needed).
  • Ability to translate business needs into structured requirements, workflows and clear documentation.
  • Comfortable working in a fast-paced, evolving environment with cross-functional teams.

 

Specialised Qualifications / Skills / Experience

As a Business Analyst you will have the chance of working on a high variety of projects, therefore you might have the need to assume a more specialized role in a given context. These are additional skills appreciated for the role:

 

  • Experience in operational process design (experience in retail and/or hospitality industries is appreciated)
  • Understanding of data sources and integrations (Web, ERP, CRM, …)
  • Experience in working on customer-facing and ecommerce-related applications
  • Experience in working on defining and implementing process flows between internal and third-party systems.
