Property Services Manager (UK)

Location: UK flexible, remote
Type of contract- permanent

Job purpose
We are looking for a full-time manager to lead a team auditing and seeking refunds from landlords and their agents for our property service charges in the United Kingdom.
You will receive a high degree of flexibility on structuring your work life.
You will formulate and refine departmental procedures, proposing innovative improvements to maximize cost savings.
You will work with real estate leadership teams, Finance & Accounts Payable teams, and facility personnel to obtain property specific information to complete the audits.
You will engage proactively with landlords and their representatives, requesting necessary documentation and negotiating refunds for overcharges, all while fostering positive relationships.

Principal responsibilities
•Responsible for the end-to-end review (contract-payment-audit) of tenant’s property service charges in the United Kingdom.
•Develop a system for cost controls including invoice reviews, budget reviews, service charge audits, and forecasting including the necessary tracking mechanisms.
•Manage a team of property service auditors covering the United Kingdom portfolio.
•Create or revise processes to improve the efficiency of the United Kingdom audit program while increasing property service savings results.
•Work closely with United Kingdom Leadership teams to diligently control the property service charge spend in United Kingdom.
•Conduct comprehensive property service charge audits across the United Kingdom, including on-site inspections and collaborative meetings with personnel and landlords' managing agents.
•Review and verify landlords' service charge invoices, cross-referencing them with lease agreements, financial reports, and information provided by local teams.
•Identify and document discrepancies and collaborate directly with landlords and managing agents to resolve issues efficiently.
•Maintain consistent and effective communication with landlords and their agents via phone calls, emails, and formal correspondence.
•Uses excellent interpersonal and communication skills, with emphasis on persuasiveness and negotiations to collect data/claims.
•Works on multiple audit claims simultaneously, prioritize follow-ups and reports and drive projects to conclusion.

Minimum qualifications
•Work experience in Lease Administration, Property Management, Commercial Real Estate Brokerage, Accounting, Law, or other relevant experience working with commercial real estate leases with the ability to interpret lease language.
•Experience managing a team of auditors, administrators, accountants, or other real estate professionals in a real estate or accounting group.

•Strong organizational, interpersonal, and written/verbal communication skills
•Possess an attention to detail and accuracy with strong analytical skills.
•Thorough working knowledge of Microsoft Office, especially Excel.
•Ability to take initiative and work independently.
•Enthusiastic about quality and integrity of work product

Additional preferences
•Prior experience in service charge auditing for office/retail properties.
•Prior experience creating service charge budgets for office/retail properties.
•Prior experience managing the operations or accounting of office/retail properties.
•Prior experience with property management standards & regulations in the UK including the professional standards of the Royal Institution of Chartered Surveyors (RICS)
•Professional designations or certifications including Chartered Surveyor and/or Chartered Accountant.
