UK Facilities Director

 

Key Objectives

 

Strategic Asset Management:

  • Develop and implement strategies to optimise the performance of real estate assets and ensure they meet tenants' needs. An example of this is deciding what to insource and when to outsource

 

Compliance and Safety:

  • Ensure all properties comply with health, safety, and environmental regulations to provide tenants with a safe and secure environment.

 

Business Rate and service charge management:

  • Ensure we consistently evaluate our partners' performance, driving improved results. Where value is left on the table. The facilities director must consider restructuring the agreement or changing the procurement model (outsource/insource)

 

Innovation:

  • Identify and suggest innovative solutions or technologies to improve facility operations and tenant experience.

 

Contracts:

  • Work with the supply chain and procurement lead to design perfect contracts that allow IWG to win when we outsource.

 

Team Leadership:

  • Lead and mentor the facilities team to maintain high service and operational efficiency standards.

 

 

Key KPIs:

Facilities strategy:

  • Design the optimum facilities strategy for performance in the UK business for the next 2 years.
  • This must align with our approach to move to a data-led decision-making strategy.
  • Coordinated with supply chain, cost and technical leads to ensure a joined-up approach across all aspects of facilities and operations

 

Asset Performance:

  • Ensure the UK’s assets meet performance benchmarks (e.g., number of breakdowns, maintenance costs, etc). This should segment Owned, leased and managed assets.
  • Ensure that 100% of owned assets fully comply with regulations within 6 months of arrival.
  • Leased within 9 months of arrival
  • Asset register complete for all owned assets within the first 12 months.
  • Asset register completed for all critical (critical is to be defined based on size, business risk, length of lease, etc) leased assets within 9 months of arrival
  • Asset improvement plan (for all of the owned estate) designed and presented for approval after 9 months
  • Within 6 months have data on the performance of all critical facility assets – including, but not limited to, the number of assets, down days, cost to fix issues, ticket volumes per asset type and location, the mean cost for facilities in the last 12 months per asset and the cost of each individual asset

 

Tenant Satisfaction:

  • Tenant satisfaction scores, particularly about the condition and functionality of facilities.
  • Measures may include NPS feedback data and also customer online complaints.
  • Reduction in customer complaints linked to facilities issues, assessed by analysing the number of complaints in NPS audits, social media checks, and online weekly complaints file.

 

Compliance Rate:

  • Compliance with health, safety, and environmental standards.

 

Response Time:

  • Average response time to address maintenance issues and tenant complaints.

 

Budget Adherence:

  • Adherence to the allocated budget for facility operations and maintenance.

 

Cost Efficiency:

  • Cost savings achieved through efficient procurement and maintenance practices.
  • Achieve a 10% reduction in maintenance costs annually.

 

Team

  • Ensure all team members deliver on their performance targets, with clear KPIs, development plans and coaching sessions managed in a structured and transparent way.
